This Privacy Policy describes how Broomfield Rotary Charitable Foundation, Inc. collects, uses, shares, and protects personal information when you interact with our nonprofit fundraising sweepstakes campaign, including through our website, donation and entry flows hosted on our platform provider (for example, TapKat), and related communications.

Information we collect

We may collect the following categories of information when you participate in the campaign or contact us:

  • Identity and contact information: Name, email address, telephone number, and mailing address.
  • Transaction information: Donation or payment details processed by our payment partners (we generally do not store full payment card numbers on our own servers).
  • Sweepstakes and campaign information: Information you submit through website forms or the sweepstakes entry process, including entries, confirmations, and related records.
  • Communications: Messages you send to us and records of support requests.
  • Technical information: Basic device and usage data collected automatically by our website or service providers (such as IP address, browser type, and pages viewed), where applicable.

How we use information

We use personal information to:

  • Provide customer support and respond to questions about entries, donations, or the campaign.
  • Operate and secure our campaign, including fraud prevention, troubleshooting, and compliance with law.
  • Maintain internal records as appropriate for a nonprofit fundraising program.

We use SMS and email for transactional and informational messages tied to sweepstakes participation, donations, and campaign operations—not for unrelated promotional “blasts.”

How we share information

We do NOT sell or share personal information with third parties for marketing purposes.

We may share information in limited circumstances, including:

  • Payment processors to process donations and related transactions securely.
  • Platform and communications providers that help us run the campaign, such as TapKat (sweepstakes platform) and Twilio (or similar providers) for message delivery, solely to provide the services we request.
  • Professional advisors (for example, attorneys or accountants) where necessary, under confidentiality obligations.
  • Authorities when required by law, legal process, or to protect rights, safety, and integrity of the campaign.

Service providers are permitted to use information only as needed to perform services for us, consistent with their roles.

Data security

We maintain reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Data retention

We retain personal information for as long as needed to operate the campaign, meet legal and accounting obligations, resolve disputes, and enforce our agreements. Retention periods may vary depending on the type of record and legal requirements.

Your choices and rights

Depending on where you live, you may have rights to access, update, or delete certain personal information, or to object to or restrict certain processing. To submit a request, contact bvagher+sweep@gmail.com and include enough detail for us to verify and process your request. We will respond consistent with applicable law.

You can also stop SMS anytime by replying STOP, as described above.

Children’s privacy

This campaign is not directed to children under 13, and we do not knowingly collect personal information from children under 13 in violation of applicable law.
